Making changes to a project with these simple steps


There can be at times when some changes are required in middle of an ongoing project. This can be due to inefficient personnel, or a wrong turn taken or anything that can hamper the quality of the project. Making changes all of a sudden to a project can be problematic at times and hence the leaders should take proper care about the changes to be made in the project.

Communication – an important tool

Communication is the most important factor that has to be implemented during any changes that are made in a project. All the team members along with the stakeholders and the management should know not only the changes that have been implemented but also the reason for such a change. There are certain cases where permissions are required for making certain changes in the project while there are certain other cases where such permissions are not required. But in these cases also, all the members should be aware of the changes made. This is required so that the members of the project are not kept in dark and they do understand all the nuts and bolts of the project in which they are a part of. 

Documentation of what is communicated

After a change has been made, it should be documented properly so that the team members and also others can know about the changes made. Written communication is easy to be spread out and also puts a stronger impact, thus any small changes made to the project have to be documented with proper information. In absence of such documentation, confusions may arise and this can cause much serious problems than the problem you were trying to solve by making the changes. Also the documented information has to be updated on time whenever required for a clear record of communication. 

Schedule Updates

When a change has been made, it is always not necessary for the schedules to be changed. But there can be also times when a small change can also impact the schedule at large. Thus, after documenting the changes made to the project, it is very important to check for any changes in the schedule. If such changes arise, updates have to be done immediately so that confusions does not arise resulting to risk and loss. Such updates may happen in case of resources, project plan, or anything else. In case of huge updations in the schedule it is necessary to publish a new baseline for the project. 

Lessons learned from the changes

After doing all the above mentioned steps, the most important step is to realize and the keep in mind the lessons that have been learned from the changes that have been done to the project. The leaders should remember that why such change was made and then how it impacted the project. In case of any negative outcomes, again a decision has to be made and in case of a positive impact, it can be also used in future projects.
